Participant Responsibility and Guidelines

    Please note that the Guidelines have been made for the enjoyment and above all, the safety of all members.

    It is the responsibility of all Participants and Trip Coordinators to have read and understood these Guidelines.

    As we have now many new members in CORE, we would like to draw your attention to some of the main points in the Guidelines, so you know what is expected of you on a trip.

     

    Trip Participants

    à      Risk is inherent to any outdoor activity – understand and accept these risks.

    à      Ensure that your experience, fitness level and equipment are suitable for the trip as detailed on the calendar. Remember that the Trip Coordinator has the right to refuse you on an event if they do not think you have the ability or correct equipment.

    à      Call or email the Trip Coordinator in advance to register on a trip. If there is a limit to the number of participants, you may be unable to register on a particular event if you do not register in time.

    à      Ask questions and if the Trip Coordinator does not know your ability, be prepared to answer some questions to ensure you are a good fit for that particular event. Inform the Coordinator if you have a medical condition which could impact you on the event.

    à      Make sure you understand where and when to meet and whether the time provided is the arrival time or the time to leave the meeting place. Be on time.

    à      Stay with the group at all times during the trip, for everyone’s safety, wait at junctions unless the Trip Coordinator has split up the group and told you to go ahead.

    à      Contribute to car pool expenses as set out in the current guidelines. The Trip Coordinator should inform you of mileage and cost.

    à      Remember that the Trip Coordinators are members of CORE, the same as you and have volunteered their time and knowledge for your enjoyment. Give them the respect and thanks they deserve.

    à      As a member of CORE, you too, are encouraged to contribute in some way – by being a Trip Coordinator, arranging a social event, suggesting a speaker, etc.

    à      Above all, remember to have fun out there; after all, that’s the purpose of the event.

     

    Trip Coordinators

    à      Post the event on the CORE calendar as early as possible and include all relevant information, especially difficulty rating, distance and elevation.

    à      Note phone numbers in case you need to cancel an event, in which case you should call all registered participants and cancel the event on the CORE calendar.

    à      Ask questions if you are unsure of a member’s ability for a particular trip, e.g. previous experience/physical ability etc., in a positive manner. Inform participants whether you intend this to be a leisurely trip at a slower rate or a faster paced event.

    à      Arrange a meeting place which is convenient for the majority of people and make sure participants are aware whether the meeting time is for arriving or the time you intend to leave. Tell participants how long you will wait at the meeting place.

    à      Introduce participants to each other at the meeting place and arrange car pooling. Ensure that each driver knows how to get to the trailhead. Provide maps if necessary.

    à      Speak to your group at the trailhead. Tell them what you expect on the event, give weather and trail conditions etc. If you have a large group, it is probably best to split into a faster and slower group, appointing a coordinator and preferably a tail-ender for each group. Make sure everyone understands that no one is to go off on their own, unless this has been agreed by you. Preset points for regrouping, such as junctions and a place suitable for lunch, reminding participants to wait there.

    à      Make a note of the mileage at the trailhead and inform participants of the cost, reminding them to pay the driver at the end of the trip.

    à      Make sure everyone arrives back safety at the trailhead before leaving. Once you have left the trailhead, your responsibility is over and each car can make its own way back.

    à      Above all, remember that you are all there to have fun; try to make it enjoyable for everyone.
